By using the website maintenance.photo you pass on information that allows you to identify yourself as a person. This only happens when using these services, or if you give or have given permission for this to us or to third parties collaborating with us.

This privacy policy applies to the services of EFNMS, as organiser of the Maintenance photo contest. We are not responsible for the privacy policy of the partner organisations, other sites and sources that are connected to this website and the photo contest, but we refer to it so that you can find the necessary information.

Regarding the stored personal data, you always have the right to:

  • request and to look into the data,
  • to change (or have changed) the data,
  • to deleted (or have deleted) the data.

This can be done for one or more entries in the different databases of EFNMS, as organiser and data controller of this Maintenance photo contest.

You can also ask to be removed from all databases of EFNMS, as organiser and data controller of this Maintenance photo contest.  You will then be ‘forgotten’ and not contacted in any way by EFNMS.

If you submit an application for changes or deletion, this will happen as soon as possible and at least within 30 days .

If you want to be removed from a database of one (or more) of the partner organisations connected to the Maintenance photo contest, you will need to address the organisation(s) in question directly and apply the procedures  stated in their respective privacy policy.

How do you claim your rights?

This can be done by clicking on a link at the bottom of the newsletter or emails or by simply sending an email to chairman@efmns.eu stating your request.

  • First and last name of the person you wish to delete or change;
  • E-mail address of the person you wish to delete or change;
  • What changes you want to make or that you want the person to be deleted.

Al the above mentioned data processors process and store your data in a protected manner. They can use third party data processors to do so. The 2 organisations are active in advancing the knowledge and insights in maintenance, reliability and asset management for the benefit of society and therefore have an legitimate purpose to inform practitioners that are professionally active in these fields about their initiatives.

Your personal data can also be controlled and processed by other third parties if this is necessary for the purpose for which you gave your consent and provided the personal information. We only use services that process personal data if we have a processing agreement with them, if they are necessary for our services and information provision and if they can guarantee the secure storage of personal data with guarantee for your privacy.

Among other, a third party is engaged for:

  • providing IT infrastructure (including accounting software, CRM software …);
  • the provision (and distribution) of the contest and related e-mails

Which data is collected?

Only those personal data are collected that are necessary to meet a certain part of our service or to send you information.

That can be:

  • first name and name
  • professional e-mail address
  • job title
  • company

No marketing profiles are created based on automatic analytics or cookies placed (see below).

Why are your personal details stored?

Your personal data are used for a specific purpose (and only for that purpose) with the following legal grounds:

  • to meet your question, to give an answer (to execute assignment);
  • to be able to process your registration for the Maintenance photo contest
  • to send you the information required (execute assignment);
  • to occasionally send you a newsletter with information for participants or voters.
  • to inform other partners and third parties about your contact details (your name, employer, job title, email and phone number(s)), when you consented to do so, by giving your explicit agreement during the contest process. How long will your data be stored?

By submitting your photo, you give permission to the organisers to publish your name, and your photo in a publicly accessible gallery where others can vote for your photo.
 

By submitting your photo, you also consent that your contact details (your name, employer, job title, email and phone number(s)) are shared with, and controlled & processed by EFNMS and the National Maintenance Societies.
 
Any other personal data will not be passed on to third parties unless you explicitly consented to do so. 
 

Minors

We have absolutely no intention to collect data about website visitors who are underage, even if they have permission from parents or guardians. However, we can not check whether a visitor is a minor. Therefore, make sure that you are involved in the online activities of your underage children to prevent their data from being processed by us or our partners.

Data security

The computers and internet connections on which your personal data is stored and transported are protected against hacking, installing malware and other improper use. The computers and the network can only be logged in with a username and password.

Anyone who can view or know your personal data on behalf of the data processors mentioned above is bound to confidentiality of that information.

A backup is made of the personal data in order to be able to recover it in the event of physical or technical incidents.

All employees of the data processors mentioned above have been informed about the importance of the protection of personal data and privacy.

Automatic storage of non-personal data

During a visit to this website, data is automatically stored about the use of the website . These are only non-personal and anonymous data (for example, your IP address is not tracked).
